Adding Assets, Service History, Bulk Import and Duplicates

Record customer equipment as assets, see its service history, import assets in bulk and avoid duplicates.

Written by Laszlo Malinovszky

Assets are your customers' machines and equipment. Tracking them gives you a full service history per unit.

Add an asset

  1. Open the client, or the Assets tab.

  2. Add a new asset with name, serial number and description.

  3. Use custom fields for extras like brand, model, tag number or next maintenance date.

Create a job for an asset

From the asset, use New job for asset. You can also add multiple assets to one job.

Service history

Each asset has an Asset Service History, and each client has a Client Service History. Service History Insight (beta) summarizes it once there are at least 3 previous work orders.

Bulk import

Send us a spreadsheet and we import it for you. Include for each row: client name (exactly as in QuickBooks if you use it), asset name, serial number and description.

Duplicates

  • Each asset is its own record, so the same serial number can be entered twice.

  • Search the Assets tab (top right) for the serial number before adding.

  • If an import created duplicates, contact support and we'll clean them up.

Common questions

Can I nest assets under another asset?

No, parent-child assets aren't supported.

Can custom fields change by asset type?

Not currently.
