From Job to Paid Invoice: The Complete Workflow

The full path of a job in Repair-CRM, from request or quote to scheduling, field work, review and QuickBooks invoice.

Here's the big picture: how a job moves through Repair-CRM until the invoice is paid.

1. The job comes in

  • A customer books online or sends a request (Job Requests), or

  • You create the job in Jobs → New Job.

2. Quote (optional)

  1. Create the job, then use Send Quote in the job list.

  2. The customer accepts or rejects it through the link. You get an email.

  3. Need changes? Revise and resend (version 2.x).

Skip quotes for simple repairs: just do the job and invoice it.

3. Schedule and assign

Give the job a date/time and a technician. Status goes Unscheduled → Unassigned → Pending → Scheduled once the technician accepts.

4. Field work

The technician starts the job, adds notes, parts/services, photos and signature in the app, and finishes it.

5. Office review (recommended)

Turn on Enable Finalizing Step in Workflow Settings. Finished jobs then wait in Finalizing, where you can correct prices, items and descriptions before anything goes to the customer.

6. Close and invoice

  1. Finalize the job. The customer gets the Work Order PDF and a rating request (if they have an email).

  2. Create the invoice in QuickBooks Online from the job. Turn off the send email toggle if you want to review it in QuickBooks first.

7. Get paid

The invoice is sent and payment is tracked in QuickBooks.

Common questions

I need to change a closed job

Enable job reopening in Workflow Settings. You can reopen it within the set period if no QuickBooks invoice exists yet.
