What Does the Customer See? PDF Templates and Hiding Prices, Fields and Notes

Understand what appears on the customer's Work Order and Quote PDFs, and how to hide prices, fields or notes.

Written by Laszlo Malinovszky

Your customer sees the Work Order PDF after the job and the Quote PDF when you send a quote. Here's what's on them and what you can change.

What's on the Work Order PDF by default

  • Your company details and logo.

  • Client, contact and job location; job topic and description; PO number.

  • Parts and services with prices.

  • Job custom fields (shown by default).

  • Signature, if collected.

Not shown: user notes (internal) and technician time (by default).

Available templates

  • General template with Remarks and PO#.

  • No-price template – hides all pricing, can list multiple units (for example HVAC units with serial numbers).

  • Bilingual Canadian no-price template – also prints clock-in/out times.

Choose the template for a client

  1. Open the client and click Edit.

  2. Scroll down to Work Order Template.

  3. Select the template and save. New work orders for this client use it.

Set this for every new client that needs a special template.

Keep something internal

  • Use User notes for internal comments – they never print.

  • Custom fields print by default. To hide specific ones from the PDF, contact support.

Custom templates and texts

We create custom templates for free: hide sections (for example the labor table), add a fixed disclaimer such as "Tax not included" on quotes, resize your logo, or print extra fields. Email [email protected] or use the chat.
