QuickBooks Error Codes and Sync Warnings

What the most common QuickBooks errors and sync warnings in Repair-CRM mean, and how to fix them.

Written by Laszlo Malinovszky

When QuickBooks Online rejects something, Repair-CRM shows you the message QuickBooks returned. Here are the ones we see most often and how to fix them.

Sync warnings

"Not synchronized with QuickBooks" / yellow icon on a part or client

The record was created before QuickBooks was connected, or never matched. Open the part (Parts tab) or client, click Edit, and Save once without changes. It should then show as matched.

"Some job elements are not linked to QuickBooks"

One or more items on the job aren't matched. Fix each item as above, then try the invoice again.

New QuickBooks customers or items don't appear

QuickBooks may have disconnected. Go to Settings → System settings → Integrations and reconnect. Tax data and Customer Types changed in QuickBooks have to be imported again manually.

Error messages

[5030] Feature Not Supported

Your QuickBooks plan doesn't support the feature, typically inventory tracking on QuickBooks Simple Start. Don't mark parts as inventory. If you already did, contact support to fix the item.

Error mentioning a category

A QuickBooks category (a grouping, not a real product) was added to the job as a line item. Delete that line and add the actual part or service.

Error about an inactive or deleted item

The item is inactive or deleted in QuickBooks. Make it active again in QuickBooks, or replace it on the job. Re-importing parts/services from QuickBooks keeps both lists matched.

Error about a field being too long (for example the contact Title)

QuickBooks limits some fields. The client Title field is meant for Mr/Mrs and allows only 16 characters. Shorten it and save.

Can't save a job: client not in QuickBooks

Repair-CRM checks that the selected client exists in QuickBooks. Import or match the client first.

Invoice without line items is rejected

Add at least one line, even a $0 labor line.
