How to Reopen a Finalized or Closed Job

Learn how to enable job reopening and return a finalized job to the Finalizing status when corrections are required.

Repair-CRM allows authorized users to reopen a finalized job, provided that an invoice has not yet been created for the job in QuickBooks.

This can be useful when you need to correct job details, materials, prices, notes, or other work order information before invoicing.

Important: A job cannot be reopened after a QuickBooks invoice has been created from it.


Enable the Reopen Job feature

Before jobs can be reopened, the reopening period must be configured in the workflow settings.

  1. Open Settings.

  2. Go to Workflow Settings.

  3. Make sure Enable Finalizing Step is enabled.

  4. Find the Job reopen period (days) setting.

  5. Enter the number of days during which a finalized job may be reopened.
    For example, enter 7 to allow reopening for seven days after finalization.

  6. Click Save.


Conditions for reopening a job

The Reopen job button is only available when all of the following conditions are met:

  • The user has administrator or the required management permission.

  • The job has already been finalized and is currently in the Rating or Closed status.

  • The job is still within the configured Job reopen period.

  • No invoice has been created for the job in QuickBooks.

  • The Enable Finalizing Step workflow is enabled.

When any of these conditions are not met, the Reopen job button will not be displayed.


How to reopen a job

  1. Open the finalized job.

  2. Click the orange Reopen job button at the top of the job page.

  3. Confirm that you want to reopen the job.

The job will be moved back to the Finalizing status.

You can then make the required corrections, such as:

  • Editing job details

  • Adding or removing materials

  • Correcting prices or quantities

  • Updating notes and other work order information

Once the corrections are complete, finalize the job again using the normal workflow.

Job history

Reopening is recorded in the job history for accountability.

For example:

Helen reopened the job.

This makes it possible to see who reopened the job and when the action occurred.


Why can’t I see the Reopen job button?

The button will not be shown when:

  • A QuickBooks invoice has already been created.

  • The configured reopening period has expired.

  • Your user account does not have the required permission.

  • The job is not in an eligible finalized status.

  • The reopening period has not been configured.

  • The Enable Finalizing Step option is disabled.
